Rules and Policies

 

The administration of policies and regulations is the responsibility of the Sunflower State Games.  Most rules have been established by the National Governing Bodies; however, some competition rules or formats may have been altered by the Sport Commissioners to make them appropriate for this tournament. Consult individual sport profiles for specific rules.

Refund Policy

There will be NO REFUNDS of entry fees except for the following: Entries received after the deadline, entries received after the maximum number of teams are bracketed, or if there are not enough teams or individuals to form a division. Please note that SSG reserves the right to combine multiple divisions or age groups to form a complete bracket or schedule. Refunds will not be offered in these instances. No refunds will be permitted simply because an athlete fails to participate. Please Note: Refunds will not be given due to weather related canceled events!

Eligibility

Participants must have resided in Kansas for at least 30 days prior to competition and have amateur status in the sport in which they enter.  Students who are enrolled in a Kansas college or university are eligible, as are U.S. military personnel and their family members who are stationed in Kansas.  All high school athletes are eligible and college athletes are eligible under national collegiate rules. All athletes must be prepared to provide proof of age and residency.  Non-Kansas residents are allowed to participate in team sports with some restrictions.  The number of non-residents allowed to compete are as follows: Baseball - 3, Basketball - 3, Cricket - 3, Soccer - 3, 3v3 Soccer - 1, Softball - 3, Volleyball - 3.

Age Requirements

See sport profiles for age determining date in each sport.  If none is listed, the participant’s age on the first day of competition in that sport determines age division.  All athletes must be prepared to provide proof of age and residency.  A current driver’s license, a state issued id or a copy of your birth certificate, (for sports with age determining dates) or a 2016-2017 grade card (for basketball athletes with grade level divisions).  If an athlete is challenged and unable to prove age or residency, that athlete will be disqualified with no refund.  If this results in a team not having enough players, the team will be disqualified with no refund.  If the team wins any games with the ineligible player, the team must forfeit those games.

Insurance

All participating athletes, coaches and volunteers must provide their own personal injury insurance. In addition, all participating athletes, coaches and volunteers must sign the official Sunflower State Games liability waiver. All athletes or volunteers under the age of 18 must have their liability waiver signed by a parent or guardian.

Registration Information

Each sport varies as to site, fees, age requirements, registration deadlines, and National Governing Body membership requirements for competition.  Refer to your specific sport profile for this information. The appropriate entry fee must be remitted by check, money order or credit card payment with the entry form and waiver.  Doubles partners must each submit completed entry form and waiver separately with separate payment.  There is no limit to the number of sports an athlete may enter however, conflicts in scheduling is the responsibility of the athlete.  All registration is on a first-received, first-filled basis.  Due to facility restrictions, participation is limited in some sports.  It is strongly encouraged that entries be submitted early. Please note that Commemorative T-Shirts will only be distributed to participants who register July 1.

Deadlines

Deadline dates will be strictly enforced and will NOT be extended. SSG will accept entries postmarked on deadline date. Please refer your sport's web page for specific deadlines.

  • July 1: Youth Basketball
  • July 8: All sports taking place July 14-16
  • July 15: All sports taking place July 21-30

T-Shirts

Commemorative T-Shirts will only be distributed to participants who register by July 1st. Commemorative T-Shirts will be distributed to participants and coaches at event check-in. You may also purchase official Sunflower State Games apparel in our online shop beginning May 1.

Towels

In lieu of Commemorative T-Shirts, participants in the following sports will receive a commemorative towel if registered by the sport specific deadline in 2017: Adventure Race, 3D Archery, Target Archery, BMX, Bowling, Competitive Trail Ride, Cornhole, Darts, Drone Racing, Functional Fitness, Golf, Horseshoes, Racquetball, Sporting Clays, and Tennis.

Team Rosters

Rosters for ALL team sports must be submitted online by the Coach. Rosters may NOT be submitted at the tournament and paper forms will not be accepted at any time. NO EXCEPTIONS! Team rosters must be submitted by 6:00 p.m. on the dates listed below, as rosters will be frozen at that time. Rosters not meeting the minimum number of participants required for competition will result in the following: 1) Your team will be considered ineligible and pulled from the tournament. 2) Refunds will not be issued.

Team Roster Deadlines:

  • July 14: Baseball, Functional Fitness, Golf, Softball (July 15-16), Volleyball
  • July 21: Adv. Race, Cricket, Sand Volleyball, 3v3 Soccer, and Soccer
  • July 28: Adult Basketball, Indoor Soccer, and Softball (July 29-30)

Team Waiver Forms

Once your completed team roster has been submitted online, you will need to turn in your signed waiver form to the Sunflower State Games office. Waivers will not be accepted at the tournament and must be submitted to the Sunflower State Games office by 6:00 p.m. on the deadlines listed below. NO EXCEPTIONS! Failure to submit your signed team waiver by the deadline will result in the following: 1) Your team will be considered ineligible and pulled from the tournament. 2) Refunds will not be issued.

Team Waiver Deadlines:

  • July 14: Baseball, Functional Fitness, Golf, Softball (July 15-16), Volleyball

Entry Reminders

Care should be taken while completing the entry form or registering online so that your registration can be processed accurately and promptly.  Print clearly!  Correctly spelled names are important, especially when medal results are reported and published by the news media. Entry forms may be duplicated.

Returned Checks

There will be a $30 fee for all returned checks.  In the event of a returned check, athletes will not be allowed to participate until the entry fee and returned check fee have been paid in cash or money order.

Bracket Fill Policy

All teams must register by the date specified on the appropriate sport profile.  Completed registration includes the following: Online or paper entry with payment, Complete roster submission by the set deadlines, and completed signed team waiver by the set deadlines.  All registration is on a first-received, first-filled basis.  Once a particular sport and/or bracket is full, registration for that sport will close.  After the registration deadline, a waiting list will be established for Team Sports only.  If a team drops out, those on the waiting list will be called on a first-received, first-filled basis.  If all completed registration materials are not submitted by deadline, the team will be pulled from the tournament and placed at the end of the waiting list with no refund.  Teams allowed in the tournament will be charged a $15 late fee.

Inclement Weather

Outdoor sporting events are weather-dependent. Competition will be conducted unless the Commissioners and/or Sunflower State Games staff determine the weather conditions to be potentially dangerous.  There are no rain dates and no refunds will be given due to weather. Please take precautions when participating in extreme heat by bringing an adequate amount of water and shade with you to your competition.

Lost or Stolen Items

The Sunflower State Games is not responsible for lost or stolen items. All SSG participants, volunteers, officials, and spectators assume their own risk as it pertains to lost or stolen personal items at any SSG sponsored event.

Sportsmanship Standards

It is expected that all who participate do so in the spirit of fair competition and good sportsmanship. Athletes and coaches are responsible for knowing, understanding and following the rules, policies and code of conduct for their sport. Games organizers reserve the right to disqualify any participant from competition in the Sunflower State Games for the following reasons: false representation, improper use of alcohol and/or drugs, unsportsmanlike conduct or disorderly behavior, rules of infraction or any reason SSG deems to be in the best interest of the Games.

Protest Policy

Under the Sunflower State Games philosophy of fair play and good sportsmanship, no protest or disputes should occur.  Should any surface, however, they should be resolved at the event site by competition officials.  It is the responsibility of the Commissioner to handle these matters within the framework and rules of the sport.
To challenge a team or player’s grade level, age, or residence, the challenging party must:
1. Meet with the Sport Commissioner within one hour of the completion of the game in question.
2. Submit a $50 cash ($100 for Soccer) protest fee per player challenged
If the player is determined to be eligible, the protest money will not be refunded.
If the player/team is determined ineligible:
1. The protest money will be refunded.
2. The ineligible player and his/her coach will be disqualified from the tournament.
3. The offending team will forfeit the games the ineligible player has competed in.
4. The coach may be banned for the Sunflower State Games for 5 years.
