Rules and Policies


The administration of policies and regulations is the responsibility of the Sunflower State Games.  Most rules have been established by the National Governing Bodies; however, some competition rules or formats may have been altered by the Sport Commissioners to make them appropriate for this tournament. Consult individual sport profiles for specific rules.

Refund Policy

There will be NO REFUNDS of entry fees except for the following: Entries received after the deadline, entries received after the maximum number of teams are bracketed, or if there are not enough teams or individuals to form a division. Please note that SSG reserves the right to combine multiple divisions or age groups to form a complete bracket or schedule. Refunds will not be offered in these instances. No refunds will be permitted simply because an athlete fails to participate. Please Note: Refunds will not be given due to weather related canceled events!  If an event is canceled due to Covid-19 and cannot be rescheduled, your sport registration fee will be refunded or you can elect to have a credit for a future event.  The nominal credit card processing fee (approximately $3 per transaction) cannot be refunded as those expenses are incured through the credit card companies and our registration vendor.


Participants must have resided in Kansas for at least 30 days prior to competition and have amateur status in the sport in which they enter.  Students who are enrolled in a Kansas college or university are eligible, as are U.S. military personnel and their family members who are stationed in Kansas.  All high school athletes are eligible and college athletes are eligible under national collegiate rules. All athletes must be prepared to provide proof of age and residency.  Non-Kansas residents are allowed to participate in team sports with some restrictions.  The number of non-residents allowed to compete are as follows: Baseball - 3, Basketball - 3, Cricket - 3, 6v6 Soccer - 3, 3v3 Soccer - 1, Softball - 3, Volleyball - 3. Please note that out of state participants may be considered on a case by case basis.

Age Requirements

See sport profiles for age determining date in each sport.  If none is listed, the age determination date is July 1st.  All athletes must be prepared to provide proof of age and residency.  A current driver’s license, a state issued id or a copy of your birth certificate, (for sports with age determining dates) or a 2019-2020 grade card (for basketball athletes with grade level divisions).  If an athlete is challenged and unable to prove age or residency, that athlete will be disqualified with no refund.  If this results in a team not having enough players, the team will be disqualified with no refund.  If the team wins any games with the ineligible player, the team must forfeit those games.


All participating athletes, coaches and volunteers must provide their own personal injury insurance. In addition, all participating athletes, coaches and volunteers must sign the official Sunflower State Games liability waiver. All athletes or volunteers under the age of 18 must have their liability waiver signed by a parent or guardian.

Discount Registration Days

Our staff will be on-site at various sponsoring locations in May and June to take discounted registrations for the Games. Discounts are not retroactive and will only be issued to those who register in person. Please check the home page of this web site for upcoming dates, locations, and additional details.


Commemorative T-Shirts will only be distributed to participants and teams who register by the posted deadline for each sport. Commemorative T-Shirts will then be distributed to participants and coaches at event check-in.

Returned Checks

There will be a $30 fee for all returned checks.  In the event of a returned check, athletes will not be allowed to participate until the entry fee and returned check fee have been paid in cash or money order.

Bracket Fill Policy

All teams must register by the date specified on the appropriate sport profile. All registration is on a first-received, first-filled basis. Once a particular sport and/or bracket is full, registration for that sport will close. After the registration deadline, a waiting list will be established for Team Sports only. If a team drops out, those on the waiting list will be called on a first-received, first-filled basis. If all completed registration materials are not submitted by deadline, the team will be pulled from the tournament and placed at the end of the waiting list with no refund.  Teams allowed in the tournament after the registration deadline will be charged a $15 late fee.

Inclement Weather

Outdoor sporting events are weather-dependent. Competition will be conducted unless the Commissioners and/or Sunflower State Games staff determine the weather conditions to be potentially dangerous.  There are no rain dates and no refunds will be given due to weather. Please take precautions when participating in extreme heat by bringing an adequate amount of water and shade with you to your competition.

Lost or Stolen Items

The Sunflower State Games is not responsible for lost or stolen items. All SSG participants, volunteers, officials, and spectators assume their own risk as it pertains to lost or stolen personal items at any SSG sponsored event.

Sportsmanship Standards

It is expected that all who participate do so in the spirit of fair competition and good sportsmanship. Athletes and coaches are responsible for knowing, understanding and following the rules, policies and code of conduct for their sport. Games organizers reserve the right to disqualify any participant from competition in the Sunflower State Games for the following reasons: false representation, improper use of alcohol and/or drugs, unsportsmanlike conduct or disorderly behavior, rules of infraction or any reason SSG deems to be in the best interest of the Games.

Protest Policy

Under the Sunflower State Games philosophy of fair play and good sportsmanship, no protest or disputes should occur.  Should any surface, however, they should be resolved at the event site by competition officials.  It is the responsibility of the Commissioner to handle these matters within the framework and rules of the sport.
To challenge a result, a team or player’s grade level, or age, the challenging party must:
1. Meet with the Sport Commissioner within one hour of the completion of the competition in question.
2. Submit a $50 cash protest fee per result or player challenged
If the result or player is determined to be eligible, the protest money will not be refunded.
If the result/player/team is determined ineligible:
1. The protest money will be refunded.
2. The ineligible player and his/her coach will be disqualified from the tournament.
3. The offending team will forfeit the games the ineligible player has competed in.
4. The coach may be banned for the Sunflower State Games for 5 years.
